Who receives statements

AutoStatements sends the email to the customer contact on the Xero statement.

The email is sent to the Primary Person stored on the Xero contact.

Make sure contacts have email addresses

AutoStatements cannot send an email if the contact does not have a primary email address.

Keep your Xero contact details up to date to make sure statements are delivered correctly.

Additional people

If a contact has additional people, AutoStatements will CC the ones who have Include this person in emails sent to the contact enabled.

Receive copies of all emails

You can configure all statement emails to be CC'd or BCC'd to an address (or addresses) of your choice.

This is recommended so you have a copy of every statement sent to your customers.

Go to your organisation's settings page to add a CC or BCC address.

Choose which contacts receive statements

By default, AutoStatements sends statements to every eligible contact.

You can change this behaviour in two ways:

  • Exclude a small number of contacts
  • Only send statements to selected contacts

Exclude certain contacts

Use this option when most customers should receive statements, but some should not.

Create a contact group in Xero named No AutoStatements, then add any contacts that should not receive statements.

Create the contact group

  1. In Xero, go to Contacts > All contacts.
  2. Click Groups > New group.
  3. Enter No AutoStatements.
  4. Click Create.

Add contacts to the group

  1. Go to Contacts > All contacts.
  2. Select the contacts you want to exclude.
  3. Click Add to group above the contact list.
  4. Select No AutoStatements.
  5. Click Add.

Contacts in this group will not receive statements from AutoStatements.

Only send statements to selected contacts

Use this option when only certain customers should receive statements.

Create a contact group in Xero named Send AutoStatements, then add the contacts that should receive statements.

Create the contact group

  1. In Xero, go to Contacts > All contacts.
  2. Click Groups > New group.
  3. Enter Send AutoStatements.
  4. Click Create.

Creating this group automatically enables selected contacts mode. AutoStatements will only send statements to contacts that belong to the group.

Add contacts to the group

  1. Go to Contacts > All contacts.
  2. Select the contacts you want AutoStatements to send statements to.
  3. Click Add to group above the contact list.
  4. Select Send AutoStatements.
  5. Click Add.

When the Send AutoStatements contact group exists:

  • Contacts in the group will receive statements.
  • Contacts not in the group will not receive statements.

To return to the default mode, in which AutoStatements sends statements to all eligible contacts, delete the Send AutoStatements contact group.

Note

If a contact belongs to both groups, No AutoStatements takes precedence. AutoStatements will not send the contact a statement.
